This Privacy Notice describes how WFH Australia ABN 81 637 893 862 ("we", “us”, “our”, “WFH Australia” or “HR: Refined. Pty Ltd.”) collects, uses, stores, discloses or otherwise handles in any way Personal Information that we may collect about individuals.

WFH Australia is committed to protecting your privacy. Your personal information is managed in accordance with the Privacy Act 1988 (Cth) and the Australian Privacy Principles (APPs).

What information does WFH Australia collect?

Personal information refers to data that identifies an individual and is reasonably necessary for the proper performance of our functions and activities as a specialist recruitment agency.

The following is the type of information that WFH Australia collects and holds:

  • General contact and identification details, including your name, address, email address, and phone number.
  • Right to work in Australia and residency information, including visa and passport details.
  • Details of your academic qualifications, memberships, and certifications.
  • Information about your work history, including current and previous positions and employers.
  • An overview of your skills and professional experience.
  • Work preferences and career objectives.
  • Information about your current compensation and salary expectations.
  • Results from assessments you have undertaken.
  • Links to or information from your social and professional profiles.
  • Contact information and details of your professional references.
  • Any information contained in your CV, if submitted.
  • Information you have submitted via online forms, email alerts, or tracking systems.

How is your information collected?

Personal information is collected directly from application forms, résumé submissions, or when attending an interview (either in-person, videoconference, or via telephone) with a representative of WFH Australia. WFH Australia also collects personal information from other sources such as via engagement with referees as part of our vetting process, and third-party recruitment advertisement platforms such as, but not limited to LinkedIn or Seek.

Purposes

WFH Australia collects, holds and discloses your personal information for the following purposes:

  • Facilitating relevant processes to assist you with work placement.
  • Recruitment functions.
  • Responding to your enquiries.
  • Keeping you informed of new developments that may be of interest to you.
  • Marketing purposes.
  • Complying with requests from legal or regulatory bodies.

WFH Australia may also seek your consent to collect, hold, and disclose your information for any other purpose not listed.

Storing Information

Access & Correction

Personal information is held on our Candidate Record Management system, JobAdder. Strict security measures protect your information from unauthorized access via encryption.

You are entitled to request access to your personal information via email: privacy@wfhaustralia.com. You may request corrections to inaccurate information.

Right to Erasure / To be Forgotten

Candidates have the right to request the deletion of their personal data. To do so, please contact our Privacy Officer. WFH Australia will identify all storage locations and delete information within one month, where permitted by law.

Upon receipt of a valid request, we identify all locations where information is stored and delete it within one month. Please note that employment or client-related data may have legal retention requirements.

You may request that we stop using your information and cease contacting you. To unsubscribe from newsletters, please use the “unsubscribe” option in any communication.

How We Protect Your Information

We employ multiple security measures to keep candidate data safe:

  • Databases require MFA login credentials for access.
  • Restricted access for authorized personnel only.
  • Strict confidentiality agreements for all staff and suppliers.
  • Frequent password changes and secure hardware policies.
  • Secure disposal of all physical documentation.
